Checklist

Overview

The checklist feature is designed to make it easy for content authors to create and track checklists and quizzes for their clients. The checklist feature integrates with two systems: the Yield mobile app and Totara. The Yield mobile app allows users to complete checklists and activities on their mobile devices, while Totara collects learner’s skills. The app syncs with both systems to make completing checklists and activities as simple as possible. The app also sends notifications to managers to complete checklists for their employees.

How to create a Checklist

Checklist can be created as part of a page or as a stand-alone page.

To create a Checklist as part of an existing page, create the form block, go to the Form Elements tab and follow the steps below.

How to create a Checklist page

Start in the Tree management or the Page area

  1. Click on Add new. You will be routed to a screen where you will see the list of page types - on this screen you will need to: 
  2. Step 1  -  Choose where to create the Checklist (page) 
  3. Step 2  -  Choose the page type. Select Checklist and then click on Create button 
  4. Write the title of your Checklist in the Page name and click Save and Publish.

How to add a form block inside the checklist

  1. On the Checklist page that you just created, scroll down and click the dropdown in the Blocks section and choose Form block, click on Add.
  2. You will then be routed to the ‘New form block’ screen. Add a title in the Heading e.g. Pre-start checks, and then click on Save and Publish.
  3. You can go back to the Checklist main page by clicking on the Save and close button below or the Back (<) button on top of the screen beside the heading.
  4. You will see the form block you just published in the Checklist main page. To go back or edit the form block, hover your mouse to the form block you created or click on the 3 dots (...) and select Edit.
  5. Do not forget to click Save and Publish after editing the page.

How to add a form block inside the checklist

  1. Add a list by choosing Form Checklist from the dropdown in the (Select type to create) section and click Add. Repeat this step each time you add a list. 
  2. Input a title in the Title field, this will only appear in the back-end for navigation purposes. 
  3. In the Options, you can choose whether the list is Required for completion when the page completion is set up as complete when answered correctly.   
  4. Type the list or the question in the Label for this form element block.
  5. In Glasshouse you can customise how you want the list to look and behave by choosing a display option from How is the checklist going to be displayed. The options are:
    a.) Checklist - list is displayed with a checkbox for the learner to tick
    b.) Toggle - list is displayed with a switch for the learner to drag or toggle 
    c.) Horizontal - list is displayed as text box for the learner to click 
  6. Add the choices by clicking Add checklist choices and type the choice in the Options block.
  7. Tick the box for Is Correct if that is the correct choice, note that multiple options can be correct in which case the score will automatically be calculated for you.
  8. When selected the option requires an extra comment from the learner box can be ticked when the list or the question needs a supporting statement or more information, click Save. Write the text prompt you want to show the learner in Prompt that is shown to the user when they must add notes and then click Publish.
  9. You can update or edit the choices by simply going to the left side of the choice and clicking on the pen icon. Alternatively you can update the option and correctness of the option simply by editing it from the top level.

How to add text box   

  1. Start from the Checklist main page, create a form block and then in the (select type to create) dropdown select Form text click add. 
  2. Type the Title (this will not be shown on the checklist) 
  3. Type the instructions or description on the Text box Label
  4. You can customise the button labels by scrolling down the screen. Type your preferred labels in the Save button label e.g. Save your notes and Post save button label e.g. Notes saved!
  5. Click on Create button, click save and close button to go back to the block form, and then click Save and Publish

How to add the signature inside the form block 

  1. Start from the Checklist main page, create a form block and then in the (select type to create) dropdown select Form signature click add. 
  2. Type the Title (this will not be shown on the checklist) 
  3. Type the role or name on the Text box Label
  4. Click on Create button, click save and close button to go back to the block form, and then click Save and Publish

How to set up completion criteria   

  1. Start from the Checklist main page, perform the steps in adding form block and adding form checklist.
  2. In Options just below the Title box, ensure that the Required for completion? is toggled on
  3. In the text box for Label for this form element, add your instruction or description such as ‘Is the employee competent?’ 
  4. Click Create and Save, go back to the form block and click Publish
  5. Go back to Checklist main page, on the top toolbars click on the Completion Criteria tab
  6. Select Final Decision button from the Set a completion method for this page dropdown
  7. Click Save and Publish
  8. Click on the Main tab from the top toolbars to go back to the Checklist main page

How to view the checklist we created

  1. Go to the main checklist page
  2. Click on the link in the URL segment, this will open a new window that will show you the published Checklist 
How to integrate this checklist with LMS

Setting up the integration in Glasshouse

  1. Go to the main checklist page or top level page
  2. On the top toolbars click on the Integrations tab 
  3. Click on Add LTI Provider
  4. Write a Name for the integration
  5. Click Create 
  6. Glasshouse will then make the following details you need to integrate the checklist to the LMS:
    a.) Consumer_key
    b.) Shared_secret
    c.) Launch url (where to send your LMS to)
  7. You also need the last part of the Checklist URL. Go back to the main Checklist page or top level page, click the link in the URL segment and copy the last part of the URL. e.g. the URL segment is https://bradken-gh.sproutlabs.com.au/confined-space, You need 'confined-space'.

Setting up the integration in the LMS - Totara

Inside a course you have editing permission, add an activity and choose External Tool


Now add the information you got from Glasshouse 

  1. Add the Launch URL info in the Tool URL field in Totara 
  2. Add the Shared_secret info to the Shared secret field in Totara
  3. Click on the Show More link and add the Consumer_key info in Consumer key field in Totara
  4. The Launch container is normally New Window
  5. Scroll down and expand the Common module settings 
  6. In the ID number field add the last part of the URLsegment e.g. 'confined-space'
  7. Finally set up the completion criteria to be Show activity as complete when conditions are met and Learner must receive a grade to complete this activity
  8. When you click on the activity you will be taken to a learner view of the screen.   


Allowing an employee to access Yield 

  1. Go to Users and then Enrolled Users.
  2. If the employee is already enrolled in the course, add the Role mobileassessor to them using the Add Role icon (this is a person with a plus next to it).
  3. If the employee is not enrolled in the course, enrol them by clicking on the Enrol Users button and assign them to the mobileassessor role.
